Overview

Rapiscan Systems, a wholly-owned subsidiary of OSI Systems, Inc. designs, manufactures and markets security and inspection systems worldwide. Our products are used to inspect baggage, cargo, people, vehicles and other objects for weapons, explosives, drugs and other contraband. Rapiscan Systems security and inspection devices can be found in a wide range of locations such as, airports, border crossings, railway stations, sea ports and terminals, government and military installations and nuclear facilities.

Responsible for providing administrative duties to the Sales & Service department members with a variety of administrative and clerical responsibilities.  This position is the single point of contact (SPOC) between the sales staff, all internal resources, and partners.  

Responsibilities

  • Processing of customer, inter-company and demonstration orders. This involves:
    • Setting up new customer accounts.
    • Liaising with finance team to ensure D&B and payment terms.
    • Check ECTN forms.
    • Conduct a review of the Purchase Order against the quote and the contract administration form.
    • Logistics and operations coordination, including export and radiation safety compliance.
    • Amendments
    • Cancellations
    • Ensure paperwork is signed off and approved by proper department heads.
    • Liaising with Contracts Department to ensure orders meet all of Rapiscan’s Terms and Conditions.
    • Distribute and release approved orders internally
  • Prepare and review correspondence, reports and other documentations, and maintains detailed and organized files.
  • Support the Sales Manager quotation process in the back office on the product configurator tool (BMI). This involves interfacing on a daily basis with operations, finance, customer service and sales to complete the quote process and approve it to move forward in the tool.
  • Professionally and effectively manage communication and relationships with the department staff.
  • Compile various reports as requested.
  • Support RFP’s/ Tenders/ Proposals.
  • Able to work effectively and collaboratively throughout the company.
  • Provide general support to all sales staff.

Qualifications

 

  • Associates Degree or equivalent work experience desired.
  • 3+ years of professional experience desired.
  • Experience with groups such as Sales, Marketing, Technical Support, Operations, Service, MIS, and Engineering highly desired.
  • Strong problem solving skills.
  • Must work with a results orientation and a commitment to teamwork and customer satisfaction (customer-centric, delight the customer).
  • Strong organizational, attention to detail, and follow through skills a plus.
  • Ability to succeed in a high-pressure, fast-paced environment.
  • High energy, self-motivated, takes initiative, follow through to completion.
  • Ability to handle difficult situations with great diplomacy.
  • Strong project management experience desired; knowledge of MS Project a plus.
  • Computer savvy; proficient in MS Word, Excel, PowerPoint, Outlook, Internet.
