The Senior Talent Acquisition Coordinator position will directly support the Global TA team's overall objective to provide superior service during our talent acquisition process. This role requires excellent organizational and communication skills as s/he interacts with candidates, leadership and several other team members. They will have the opportunity to make a direct impact to our many businesses: Rapiscan Systems, a manufacturer and seller of security products, Spacelabs Healthcare, manufacturer of medical devices, and OSI Optoelectronics, manufacturer of custom semiconductor-based optoelectronic components.


  • Coordinate and communicate scheduling of interviews in support of team and manage candidate travel as necessary.
  • Ensure the workflow within the ATS (Applicant Tracking System) is monitored, administered and adhered to effectively. Assist in administration and maintenance of ATS.
  • Prepare and deliver weekly and monthly recruiting reports and various other reports as needed.
  • As needed, prepare offer letters with a high level of accuracy and data integrity for Recruiter presentation.
  • Collect signed offer letters and ensures all new hire documents are scanned in to our electronic management system.
  • Submit background check requests.
  • Maintain and reconcile invoices for the Talent Acquisition group.
  • Act as liaison with agencies for entry-level and temporary staff. Maintain tracking for use of agency temporary employees.
  • Act as an efficient partner to the Global TA Manager, Recruiters and Hiring team members.
  • Help maintain our career pages on our internal and external job board sites.
  • Inform new supervisors on hiring policies and procedures, use of Applicant Tracking System, and basic guidelines for interviewing and selection (e.g. employment laws, Affirmative Action, etc.).
  • Help build efforts to expand sourcing effectiveness through social networks, employee referrals, industry associations, direct sourcing, colleges/universities, on-line resources, and other creative channels.
  • Maintain documentation in compliance with DOL and EEO/OFCCP requirements and provide necessary reporting.
  • Handle Green Card and other immigration recruiting as necessary.
  • Support TA team with ad hoc tasks related to candidate coordination and team support.
  • Maintain a high level of confidentiality.

  • Duties may be modified or assigned at any time to meet the needs of the business.


  • 3-5 years of working experience in a support role, strongly preferred within HR
  • Bachelor’s degree preferred.
  • Must be highly organized, reliable, detail oriented and self-motivated.
  • Proficiency at providing coordination support in a fast paced corporate environment.
  • Intermediate to advanced skills in using Microsoft Office suite, including email, PowerPoint, calendar programs, and Excel (VLOOKUP and pivot tables is a strong plus).
  • Some previous experience with ATS systems (preferably iCIMS).
  • Superior customer service skills.
  • Excellent written and verbal communication skills.
  • Ability to work with diverse groups of people at all levels of authority
  • Strong sense of urgency and multi-tasking abilities.
  • Knowledge of hiring and employment laws desired.
